This glossary defines key terms used throughout the Optimal Workforce platform and documentation. Understanding these terms will help you get the most out of the platform.
Core Concepts
Caseload
A geographic team or region with assigned postal codes. In Optimal Workforce, a caseload refers to the collection of geographic areas (typically postal codes) assigned to a team—not individual client assignments to workers.
Example: "The North Region caseload includes postal codes M1A through M1Z."
Team Caseload
Synonymous with caseload. The geographic territory and associated metrics assigned to a specific team.
Region
A geographic area served by one or more teams. Regions are typically larger organizational units that may contain multiple team caseloads.
Example: "The Greater Toronto Region contains five team caseloads."
Geographic Terms
FSA (Forward Sortation Area)
The first three characters of a Canadian postal code (e.g., "M4A" from "M4A 1A1"). FSAs are commonly used as the basic geographic unit for caseload assignment.
Postal Code
The full six-character Canadian postal code (e.g., "M4A 1A1"). While FSAs are typically used for caseload boundaries, full postal codes provide more precise location data.
Territory
The geographic coverage area assigned to a team caseload. A territory consists of one or more postal codes or FSAs that define where a team operates.
Data & Metrics
Aggregate Metrics
Summary data about regions or caseloads, such as total client counts, visit hours, or worker counts. Optimal Workforce works with aggregate metrics rather than individual client or employee data.
Example: "The M4A area has 120 clients and 2,500 monthly visit hours."
Client Count
The total number of clients within a geographic area or team caseload. This is an aggregate count, not individual client records.
Visit Hours
The total scheduled or actual service hours within a geographic area. Used to measure workload and demand.
Worker Count
The total number of workers assigned to serve a geographic area or team caseload.
Industry Terms
PSW (Personal Support Worker)
A healthcare professional who provides personal care services, typically in clients' homes. PSWs are common in home care organizations that use Optimal Workforce.
HIMS (Home Health Information Management System)
Software systems used to manage home care operations, including scheduling, client records, and billing. Optimal Workforce integrates with HIMS platforms to import aggregate data.
Examples: AlayaCare, other scheduling and care management systems.
Distributed Workforce
A workforce where employees work across multiple geographic locations rather than at a central office. Home care, field service, and mobile service industries typically have distributed workforces.
Platform Features
Optimization
The process of using algorithms to recommend improved caseload assignments. Optimization aims to balance workloads across teams and improve geographic efficiency.
Balance Score
A metric indicating how evenly workload is distributed across teams. Lower scores indicate better balance.
Continuity
In optimization, the preference for keeping existing assignments unchanged. Higher continuity settings produce fewer changes but may limit potential improvements.
Related Terms
API Integration
A connection between Optimal Workforce and another system (like your HIMS) that automatically transfers data. API integrations enable automatic data sync without manual uploads.
CSV Upload
A method of importing data by uploading comma-separated value files. Used when API integration is not available.
Data Sync
The process of updating Optimal Workforce with the latest data from your connected systems. Syncs can be automatic (API) or manual (CSV upload).
